How to import catalogue items

The following article outlines how to import new product catalog data into your Procurify account.

Important: This article is strictly for importing catalog items into Procurify for the first time. To update existing catalog items, refer to the article: how to update catalog items via imports.


Steps:

There are two ways to import a Product Catalog. Before importing the Product Catalog into Procurify, complete the following steps:

  1. Navigate Settings Import Data

  2. Click Import CSV next to Product Catalog and click Download Template.

  3. Fill in the Template. Please refer to the guide below on filling out the template.

  4. Save the file.

  • To import images (column I), enter the URL of the image or enter the exact file name of the image in the zip file including file extension capitalization.

    • The zip file must be surface-level deep: Images must be directly zipped, and not within a folder inside the zip file.

  • If the URL is added to the description of the catalog item, it would then be carried over as a comment on the line item to the order request and the PO.

  • Ensure to fill in all custom field columns to avoid import errors.

    • For Date custom fields, date formats must entered as YYYY-MM-DD

    • For Drop-down custom fields, enter the option exactly as they appear in the custom field.

    • For Checkbox type custom fields, enter True or False.

    • For Text custom fields, the format must contain alphanumeric characters only

Once you've saved the CSV file, there are two ways to import the Product Catalog into Procurify.

From the Product Catalog page:

  1. Select the Procure tab → Product Catalog

  2. Select Import Catalog

  3. Select Upload CSV file

  4. Select Import

If there were any errors, make the required changes before re-uploading the CSV. You have successfully finished the import!

From the Settings page:

  1. Select Settings → Import Data and select Import CSV.

  2. Select Browse & Upload CSV. If completed properly, you will see a success screen.

  3. Select Upload

  4. Select Import
