Purpose

This article provides a comprehensive, step-by-step roadmap for transitioning your organization from Stripe to Airwallex. By following this sequence, you will ensure a seamless handover, maintaining active spending power for your team without service interruptions.

Prerequisites

  • Administrative Access: You must have Admin permissions in Procurify.

  • Verified Domain: Your organization must have a verified domain within the platform.

  • Required Documentation: Prepare company incorporation documents and government-issued IDs for the KYC (Know Your Customer) process.

Phase 1: Security & Account Initialization

Step 1: Enable Multi-Factor Authentication (MFA)

Action: Customer

To protect your organization from fraudulent use, Multi-Factor Authentication (MFA) is mandatory when using Airwallex Spend Cards.

  1. Communicate the change to your team (MFA adds an extra login step)
    -We have added an email template you can use below to communicate these changes to your company.

  2. Navigate to Settings > Security Settings.

  3. Toggle Enable Multi-Factor Authentication to ON.

Hi team,

Thank you to everyone who has actively participated in our onboarding of Procurify!

As we continue to adopt the system and increase usage, we are taking an extra step toward security by enabling Multi-Factor Authentication (MFA)!

Why?

- MFA significantly reduces the risk of cyber attacks

- It adds an extra layer of security beyond usernames and passwords

What do you need to do?

The next time you log-into Procurify, you'll notice it is asking for an Authentication Code.

Here is how you set-up your MFA to retrieve that code:

Step 1: Download/Open an authenticator app

Step 2: Select the option to add a new account, often labeled as Scan a QR Code

Step 3: Use the app to scan the QR code displayed on the Procurify login screen

Step 4: Enter the 6-digit verification code generated by the app into Procurify to complete the set-up.

Now, your set-up is complete, and a new code will be generated each time you log-into Procurify at the start of the day.

Step 2: CSM Activation

Action: Customer Success Manager (CSM)

Once MFA is active, notify your CSM. They will enable the backend permissions required to access the Airwallex integration.


Step 3: Set Up Airwallex Financial Account (KYC)

Action: Customer

An Admin with "Manage Financial Account" permissions must complete the Know Your Customer (KYC) verification.

  1. Go to Settings > Manage Financial Account.

  2. Click Begin Setup for Airwallex.

  3. Upload the required business documentation and identity verification for the account owner.

  4. Wait for Airwallex approval (typically 24–48 hours).

Please note: Airwallex may request additional information during this process. We will notify you if any further action or documentation is needed from your side.


Phase 2: Cardholder Enrollment & Funding

Once you have submitted your Airwallex Financial Account (KYC) documentation please reach out to your Procurify CSM to have them Enable Cardholder registration for your domain.

Step 4: Cardholder Registration

Action: Individual Employees

Important: Admins cannot register on behalf of employees. Each cardholder must log into their own Procurify account to complete this 30-second verification.

  1. Employees will receive an email, in-app, and push notification.

  2. Click the registration link in the invitation.

  3. Verify identity details as prompted.


Step 5: Funding the Account

Action: Customer

Before cards can be used, the Airwallex Financial Account must be funded.


Phase 3: Card Issuance & Transition

Step 6: Order Virtual and Physical Cards

Action: Customer

  • Virtual Cards: Generated immediately upon cardholder verification. Best for online subscriptions and recurring payments.

  • Physical Cards: Navigate to Manage Cards > Order Physical Card. Confirm the shipping address.

Note: Delivery takes 1–3 weeks. Continue using Stripe cards for in-person spend during this time.


Step 7: Enable Airwallex Issuing

Action: CSM

Your CSM will perform a final backend switch to make Airwallex cards visible to all non-admin users across the organization.


Step 8: Transitioning Payments

Action: Customer

  1. Identify Recurring Bills: List all subscriptions currently tied to Stripe cards (e.g., AWS, Zoom, LinkedIn).

  2. Update Details: Swap Stripe card numbers for new Airwallex virtual card numbers.

  3. Test Transactions: Perform at least one small "test" transaction with a new physical card before discarding the old one.


Phase 4: Offboarding Stripe

Step 9: Cancel Stripe Cards

Action: Customer

Once every team member has confirmed their Airwallex card is working, navigate to the Stripe card management tab and Cancel all active Stripe cards.


Step 10: Close Stripe Account & Transfer Remaining Funds

Action: Customer + Support

To recover remaining balances from Stripe:

  1. Contact [email protected] to initiate the account closure.

  2. To transfer funds to Airwallex: Go to the Airwallex "Add Funds" page, copy the details, and provide them to Procurify Support.

  3. To transfer funds to your bank: Provide your bank account details (Account/Routing number) to Procurify Support.


Troubleshooting & FAQ

  • Why can't I see the Airwallex option in Settings?
    Ensure Step 1 (MFA) is completed and you have notified your CSM to flip the internal switch.

  • An employee didn't receive the registration email.
    Ask them to check their "Notifications" bell inside the Procurify web app or their mobile push notifications.

  • How long do funds take to appear?
    Domestic transfers typically take 1–2 business days; international wires may take longer.
