The Import Users function can complete several tasks related to user profiles in Procurify. Use this article for instructions on how to use the import template properly. If users being added already exist as part of another domain, the password being imported will not take effect, but the existing password for those users will continue to work. Due to customization, Location and Department may have unique labeling. In this article, we are using the default labels Location and Department. Learn more here.
Adding New Users
1. Download the template, available at the bottom of the following article, titled User Profile Import.csv
2. Review the table below for a definition of each column and an example. Fill out the required columns and save the file to your computer.
3. When complete, return to Settings → Manage Users and select Import CSV. Select Browse & Upload CSV. If completed properly, you will see a success screen, and your new user will be created.
- If there were any errors, make the required changes before re-uploading the CSV.
- To download the import template directly from your account. Select Settings → Import Data → select Import CSV next to Users → and select Download Template.
Modifying Existing Users
1. Navigate to Settings → Manage Users and click on Export CSV.
2. From your exported CSV, copy and paste the users you wish to update to the Import CSV template.
3. Make any changes to the user, adding Update to the Action on Duplicate column.
- To clear any non-mandatory fields, use the **CLEAR** function in the appropriate column.
4. When complete, return to Settings → Manage Users and select Import CSV. Select Browse & Upload CSV. If completed properly, you will see a success screen, and your users will be updated.
- If there were any errors, make the required changes before re-uploading the CSV.
- It is impossible to update a user's email or password via the import when modifying an existing user.
Deactivating Existing Users
1. Navigate to Settings → Manage Users and click on Export CSV.
2. From your exported CSV, copy and paste the users you wish to deactivate to the Import CSV template.
3. When deactivating, you must input their first and last name along with their email address. Add Deactivate to the Action on Duplicate column.
4. When complete, return to Settings → Manage Users and select Import CSV. Select Browse & Upload CSV. If completed properly, you will see a success screen, and your users will be deactivated.
- If there were any errors, make the required changes before re-uploading the CSV.
- When a User is INACTIVE, the Roles & Permissions tab disappears. Due to this, you cannot use the Import User Role/Permission/Edit until the User is made ACTIVE again.
