How to import users

Due to customization, Location and Department may have unique labeling. In this article, we are using the default labels Location and Department. Learn more here.


We suggest importing a maximum of 100 users at a time. Exceeding this limit could lead to import failures.

Adding New Users

  1. Navigate to Settings → Import Data

  2. Click Download Template for Users

  3. Review the table below for a definition of each column and an example. Fill out the required columns and save the file to your computer.

  4. On the Settings Import Data page, click Import CSV File.

  5. Click Upload to browse for the file on your computer

  6. Click Import.

If completed properly, you will see a success screen, and your new user will be created.

If there were any errors, make the required changes before re-uploading the CSV.

Modifying Existing Users

  1. Navigate to Settings → Manage Users and click on Export CSV.

  2. From your exported CSV, copy and paste the users you wish to update to the Import CSV template.

  3. Make any changes to the user, adding UPDATE (all upper case) to the Action on Duplicate column.

    • To clear any non-mandatory fields, use the **CLEAR** function in the appropriate column.

    • Email addresses cannot be updated via imports.

  4. When complete, return to Settings → Manage Users and select Import CSV File.

  5. Click Upload to browse for the file on your computer

  6. Click Import.

If completed properly, you will see a success screen, and your users will be updated.

If there were any errors, make the required changes before re-uploading the CSV.

Deactivating Existing Users

  1. Navigate to Settings → Manage Users and click on Export CSV.

  2. From your exported CSV, copy and paste the users you wish to deactivate to the Import CSV template.

  3. When deactivating, you must input their first and last name, along with their email address. Make sure to include the column Send User Invitation Email and put NO instead. Finally, add DEACTIVATE (case sensitive) to the Action on Duplicate column.

  4. When complete, return to Settings → Manage Users and select Import CSV File.

  5. Click Upload to browse for the file on your computer

  6. Click Import.

If there were any errors, make the required changes before re-uploading the CSV.

When a User is INACTIVE, the Roles & Permissions tab disappears. You must reactivate the user to edit/import User Roles and Permissions.
