Question:

How to allow budgets to exceed, I want to approve a request that is over budget

See this article to identify which version of budgets your domain is currently using. If you wish to upgrade from Legacy Budgets to our new Budgets, please contact a Procurify representative.


What is Budget Overage?

When the allowed budget overage feature is enabled, order requests can be approved even if they exceed the budget.

When Enabled: Attempting to approve an over-budget request will generate the following warning: There is insufficient budget to approve this order. Do you want to approve it anyway?

If the feature is disabled, approvers cannot approve requests that exceed applicable budgets.

For new Budgets

To enable/disable budget overage in our new Budgets:

  1. Navigate to Settings β†’ Manage Budget Categories

  2. In the upper right, click Tools

    and select Budget Settings

  3. Check/Uncheck the Budget Overage checkbox.

  4. Click Save Settings.

For Legacy Budgets

To enable/disable budget overage in Legacy Budgets:

  1. Navigate to Settings β†’ Manage Budgets

  2. Toggle Allow Budget Overage

Additional Information:

  • Budgets apply to Requests for Order and Requests for Expense

  • The budget overage does not block requests from being created and submitted.

  • If you would like requests with exceeded budgets to be routed to a different approver/approval group, consider using a custom field which can be toggled by an approver.
