Answer:

By default, budget visibility in Procurify is limited to Superusers, Approvers assigned to specific Locations and Departments within the Approval Routing, and users with a custom role that includes the Budgets “View” permission. Approvers will only see the Budgets for the Departments/Locations they are set as Approvers for. To add a user to an Approval Group, view the steps listed below.

How to add a user to an Approval Group:

  1. Select Settings on the left-hand navigation bar.

  2. Select Manage Approval Routing.

  3. Select either the Request, Bills or Payments tab on the left-hand side

  4. Choose the applicable Approval Routing Group

  5. Then, select the Add User to Group or Add Approver on the far right side of the page.

  6. Select the Level, select the Approver, and enter a threshold if necessary.

  7. Finally, select Add.

Assigning Custom Roles for Budget Permissions

If you need to enable budget visibility through custom roles, you can assign the Budgets “View” permission to a user. Here’s how:

  1. Go to Settings > Manage Users.

  2. Select the user’s name from the list.

  3. Choose Customize Permissions.

  4. Assign a custom role that includes the Budgets “View” permission.

Steps to Grant Access to Non-Approvers

To allow non-approver users to view department budgets, follow these steps:

  1. Navigate to Settings > Manage Access > Reports Access.

  2. Select the users who should have budget visibility.

  3. Assign access for the specific departments they need to view.

Additional Information:

  • Superusers and Approvers automatically have access to view budgets.

  • Custom roles provide flexibility for granting specific permissions, such as budget visibility, to users who do not fall under the default categories.
