How does the system behave with different Peer Review and Self-Approval settings?

Understanding how the Procurify system behaves under different combinations of Peer Review and Self-Approval settings is crucial for configuring approval workflows effectively. This article explains the behavior of the system when these settings are enabled or disabled, focusing on scenarios with one or two approval levels.

Peer Review and Self-Approval Enabled

One Approval Level

  • If the requester is also an approver and there are other level-1 approvers, the requester can choose either themselves or another level-1 approver.

  • If there are no other level-1 approvers or no next-level approvers, the requester can self-approve.

  • Thresholds are ignored when there is only one level in the approval group, regardless of the settings for peer approvals, self-approval, or approval pools.

Two Approval Levels

  • If the request is within the requester’s threshold and there are other level-1 approvers, the requester can select themselves, another level-1 approver, or the next-level approver.

  • If there are no other level-1 approvers and the request is within the threshold, the requester can choose themselves or the next-level approver.

  • If the request is not within the threshold and there are other level-1 approvers, the requester can choose another level-1 approver or the next-level approver.

  • If the request is not within the threshold and there are no other level-1 approvers, the requester must select the next-level approver.

Peer Review Enabled and Self-Approval Disabled

One Approval Level

  • If the requester is also an approver and there are other level-1 approvers, the requester will not see themselves as an approver and can only choose from other level-1 approvers.

  • Self-approval will still occur only if there is no other approver at the same level.

Two Approval Levels

  • If there are other level-1 approvers, the requester can choose from other level-1 approvers or the next-level approver.

  • If there are no other level-1 approvers, thresholds do not matter, and the requester will be directed to select the next-level approver.

Summary

The behavior of the Procurify system varies based on the combination of Peer Review and Self-Approval settings and the number of approval levels. When configuring approval workflows, consider the presence of other approvers, the requester’s role, and the thresholds to ensure the desired approval process is followed.
