We’ve made a series of updates to modernize and streamline how you manage users, roles, and permissions in Procurify.

QuickBooks Online expense management integration

We’ve updated our QuickBooks Online integration to include expense management. No more double entry—just clean, connected data between Procurify and QBO.

  • Credit card bill sync: Credit card expenses can now be automatically synced to QuickBooks Online for easier tracking and reconciliation.

  • Reimbursable expense sync: Out-of-pocket expenses submitted for reimbursement are now synced directly to QuickBooks Online, providing a clearer picture of employee spending.

  • Combined tax rate support (Canada): For Canadian organizations, combined GST+PST tax rates are now properly mapped and synced to QuickBooks Online, ensuring accurate tax reporting.

Spend insights

We’ve launched Spend Insights, a powerful new analytics feature designed to help finance, procurement, and operations teams make faster, more informed spend decisions. By centralizing purchasing, expense, and accounts payable data in one place, Spend Insights gives you the visibility and confidence you need to spot trends, reduce risks, and take action—without relying on disconnected reports or exports.

What is Spend Insights?

Spend Insights is an AI-powered analytics tool built directly into Procurify. It helps you understand where spend is going so you can make proactive, data-driven decisions across your organization.

Key features:

  • Purpose-built dashboards: Visualize spend across purchasing, expenses, and AP with curated dashboards and filters.

  • Drill-down metric cards: Click into key metrics by vendor, category, account code, and more to uncover trends and anomalies.

  • Spend Analyst (Beta): Ask questions using plain language and get instant, AI-generated answers—no need to build reports manually.

Spend Insights is now available for Superusers and will be rolling out to more user roles in the coming months. Data is refreshed twice daily to ensure you’re working from the latest information

Order management improvements

We’ve improved the experience of managing orders to make it more accessible and efficient for users.

  • New fixed approval bar: Total cost, approver selection, and approve/deny actions now appear in a fixed bar at the bottom of the order details page to eliminate unnecessary user scrolling.

  • Improved order status visibility: Clear status labels now appear on the order status and order details pages to improve readability and accessibility.

  • Improved order header layout: The order details header now has a clear visual hierarchy for faster scanning and a unified “Edit” action that consolidates editable order fields.

Filter unbilled PO items export by accruals

You can now filter the export for unbilled PO items by the following statuses: all items (i.e., active or archived); all active items; active accruals (i.e., active unbilled items that have been received); and archived items. This helps you export unbilled PO items based on your financial planning needs and ensure proper financial due diligence.

Bulk editing for bill items

You can now bulk edit bill items by updating multiple account codes or removing multiple bill items simultaneously with just a few clicks. This helps simplify bill management with numerous line items, streamlining your accounts payable workflow so you can focus on what matters most.

Capture the actual receive date for PO items

March 26, 2025

You can now capture and track the actual receive date for items, replacing the previously used system entry date. This date will default to the date of logging the receive action; however, you can now select a different date from a calendar view.

Receive logs and audit logs will now accurately reflect the actual receive date, along with the date of entry, providing a clear and detailed record of each transaction. Orders that were received prior to this release will also have a "Received Date" field, which will default to the date of logging the receive action at the time of launch.

Desktop Navigation Update

We've redesigned our platform's navigation structure to improve usability and workflow efficiency. This new structure organizes features more intuitively and introduces clearer section names.

  • Renamed "Dashboard" to "Home" for a more welcoming entry point

  • Moved "Approve" to the top of the navigation for faster approver access

  • Added a dedicated "Expense" section with expense requests, travel requests, and spending cards

  • Moved “Order requests’ under the Purchasing section

  • Created an "Analytics" section to consolidate reporting

  • Reorganized ‘Settings” as a standalone section

Use Received Quantity as default cost

March 24, 2025

You can now streamline invoice entry by automatically defaulting to the received quantity or received cost when creating a bill. The line cost of bill items will now be calculated using the most up-to-date receiving data, reducing manual data entry and helping to ensure an accurate three-way match. For example, if a purchase order was created for 10 units but only 6 units have been received, a new bill will have a default quantity of 6 to reflect the actual goods received at the time of bill creation.

To create a bill for unreceived items (e.g., to pay a deposit), you can simply edit the quantity and cost for the line items.

This new setting is enabled by default for all customers. You can access it in Settings > Customize AP bill form.

Duplicate invoice alerts

This prevents accidental resubmissions, safeguarding your financial accuracy and simplifying audit compliance. With this enhanced notification, you can confidently maintain precise records and streamline your bill management.

Mark bills as paid in the manage bill tab

This update allows you to streamline your bill management by manually marking bills as paid, even when using external payment methods. This ensures your Procurify records accurately reflect your payment status, providing a comprehensive and up-to-date view of your financial transactions without needing direct integrations. By simplifying this process, we're reducing the need for manual reconciliation and ensuring your procurement data is always precise.

Accruals report export

Accruals Report export can be found in our Export options, Export > Unbilled PO Items (Accrual Report). The export will provide finance teams with the familiar layout they need for clear visibility into unbilled purchase orders. This update simplifies financial reconciliation, ensuring you can easily track potential liabilities and maintain accurate financial records. By reintroducing this format, we're enhancing your ability to manage financial commitments efficiently.

McKesson Medical-Surgical PunchOut

McKesson Medical-Surgical USA is now a PunchOut supplier, simplifying your ordering process and automating purchases. This integration eliminates manual order entry, saving you time and reducing errors. By connecting directly, you ensure efficient and accurate procurement of medical supplies.

The McKesson Medical PunchOut is only available for US-based customers​.


Verified three-way matching has been renamed

Procurify has renamed "Verified three-way matching" to "Disable bill submission with unreceived items" to more clearly reflect its function. This update helps prevent premature bill payments, ensuring your financial accuracy and control.


Disable automatic line item matching

March 3, 2025

Procurify has introduced a new feature that allows users to disable automatic line item matching between invoices and purchase orders. This addresses situations where invoice and PO line items are significantly different in detail or granularity, preventing accurate automated matching. Customers who found their items incompatible for auto-matching, can now manually match line items as needed. This feature is accessible as a toggle within the Customize AP Bill Form settings page for all Accounts Payable customers, providing greater control and flexibility in the accounts payable process.
