Is this available to all users within a customer's account?
Spend Insights is available to all users based on their existing permissions, location and department access, and admin settings.
Purchasing Insights Permission – Users can access this dashboard if they have all of the following permissions:
View Orders by Vendor
View Orders by User
View Orders by Department
The Receiving dashboard is also accessible to users with this permission, no additional permission is required.
Expense Insights Permission – Users can access this dashboard if they have the following permission:
View Expenses by Department
AP Insights Permission – Users can access this dashboard if they have both of the following permissions:
View Bill
Create/View Payment and Payee
Budget Insights Permission – Users can access the Budget vs. Spend dashboard if they have been granted the following Spend Insights permission:
View budget insights (based on budget and all spend transaction data)
This permission is not derived from existing Procurify app permissions — it must be explicitly assigned to a user's role. Admins and users with the manage-budget permission will see the full organization view. All other users will see only the budgets and departments they have been granted access to.
Location/Department Access – Location and Department access for Spend Insights follows the same configuration as Reporting Access.
Is it a paid feature?
Spend Insights is an included feature in the Procurify platform.
Any customer segments not supported?
No restrictions — all Procurify customers are able to use Spend Insights.

How often is the data refreshed?
Spend Insights data updates twice daily.
You can check the Last Updated timestamp for the most recent update.
Can the Spend Analyst take actions, like approving POs or changing budgets?
No — Spend Analyst is read-only. It's designed to help you explore and understand data, not make changes.
Will using the Spend Analyst slow down the system?
Not at all. It runs in parallel and doesn't impact platform performance.
Stage filtering
Can I choose how spend is defined on my dashboards (the stage filter)?
Yes. The Overall Spend, Expense, Purchasing, and AP dashboards each include a stage filter that lets you scope spend to the lifecycle stage that matches your team's accounting definition — for example, approved, ordered, received, or paid. The available options depend on the dashboard and entity type, and the filter is single-select.
Do I need a new permission to use the stage filter?
No. The stage filter appears automatically on any dashboard you already have access to. No admin action or additional permission is required.
Why does my Overall Spend total look higher than before?
The Overall Spend dashboard now defaults to showing spend across all stages, rather than approved spend only. This gives a complete picture by default. To see a narrower view, use the stage filter to select the stage your team reports on. The Expense, Purchasing, and AP dashboards keep their previous defaults, so those figures are unchanged unless you select a different stage.
Can I set a default stage for everyone, or combine multiple stages?
Not at this time. The stage filter is single-select per dashboard, and there is no organization-wide default-stage setting. Each user selects the stage they need.
🔐 Data Accuracy & Security
How accurate are the Spend Analyst responses?
The data is pulled from your account. However, AI interpretations can vary slightly. If something seems off, always double-check, drill into the source, and give us feedback.
Why does the answer change when I ask the same question?
AI uses context and phrasing to interpret queries. Slight variations can lead to different responses — that's normal behavior.
What if the Spend Analyst gives a wrong answer?
Use your best judgment and ✅ / ❌ icons to flag the response. Feedback helps us improve over time.
Is my data secure?
Yes. Procurify is SOC 2 Type 2 compliant.
Spend Insights only accesses spend data you already have permission to view. No personal or sensitive data is exposed.
Can I disable the Spend Analyst?
Yes. If you'd like to opt out, reach out to your Procurify contact.
