Question:

  • The budget date has expired, but the Budget still appears in the Active section. Why?

The following article pertains to Legacy Budgets. See this article for how to identify which version of budgets your domain is currently using. If you wish to upgrade from Legacy Budgets to our new Budgets, please reach out to a Procurify representative.

Due to customization, your interface text may differ. In this article, we are using the default labels Location and Department. Learn more here.

Answer:

Even if the budget date has passed, the Budget will continue to appear as active.

Previously, when a budget date had passed, users were no longer able to submit a request with the Account Code of an expired Budget. With recent updates made to Budgets being optional, users can continue creating requests, even if the date has passed. For this reason, the Budget will remain active.

If you wish to keep using the Budget, update the Budget dates (but again this, not a required step).

If you would like to close the Budget, it is possible to close the Budget manually. Even if the Budget is closed, you will still be able to use an Account Code linked to this Budget.

To view expired budget data, complete the following steps:

  1. Select Settings on the left-hand navigation bar

  2. Select Manage Budgets

  3. Select Expired and select the applicable Location- Department.

  4. Select Show previous budget next to the Account Code you'd like to view expired budgets for.
