How to Configure User Access to System and Finance Settings

How to grant or restrict user access to the Settings page and delegate specific administrative tasks, such as managing Account Codes or Budgets, without granting full Superuser control.

Summary (TL;DR): Learn how to grant or restrict user access to the Settings page and delegate specific administrative tasks, such as managing Account Codes or Budgets, without granting full Superuser control.

Prerequisites

  • You must have Superuser permissions or a custom role with access to Manage Users.

  • To toggle individual configuration links within a category, your domain must have the Granular Permissions feature enabled. If you do not see these options, please contact your Customer Success Manager.

Part 1: How to Configure Access to the Settings Page

The Settings page contains powerful configuration tools. You can limit access to ensure users only see the administrative modules relevant to their job duties, protecting your domain from accidental changes.

  1. Navigate to Settings on the left-hand navigation bar.

  2. Select Manage Users.

  3. Locate the applicable user and click on their name to open their profile.

  4. Navigate to the Roles & Permissions tab and click the three dots on the right to Edit Permissions.

  5. Select Customize Permissions

  6. In the pop-up window, select the Settings tab.

  7. Check or uncheck the broad categories (e.g., Finance, Manage Users, Approval Routing) you wish to provide access to.

  8. Click Apply to save your changes.

Part 2: How to Delegate Specific Finance Settings

If Granular Permissions are enabled, you can provide highly specific access within the Finance section. This allows a user to manage your chart of accounts without giving them access to close the financial month.

  1. Navigate to the Settings tab within the user's Edit Permissions window (following steps 1-5 above).

  2. Locate the Finance category and click the drop-down arrow directly next to it.

  3. Select the checkboxes next to the specific Granular Permissions you want to apply to the user.

Click Apply to finalize the updates.
