Feature Activation: The ability to restrict receiving by Department is a domain-level setting. If you do not see a Departments button next to the Receive permission in User Settings, contact a Procurify Representative to enable the Receive by Department feature.
Prerequisites
Superuser access or a custom role with Manage Users permissions.
The user must already have the Receive permission assigned to their role.
Note: Labels such as "Location" or "Department" may vary if your domain utilizes custom organizational categories.
Procedure: Restricting the Receive List
1. Verify Role Permissions
Before assigning specific locations, ensure the user has the functional authority to receive items.
Navigate to Settings > Manage Users.
Select the applicable user and click the Roles & Permissions tab.
If the Receive permission is not present, click Edit Permissions, check the Receive box, and click Apply.
2. Assign Location Access
Determine the physical sites for which this user is responsible.
Locate the Receive permission row.
Click the Locations button (located in the Assigned Locations column).
Select the applicable Locations from the pop-up and click Assign Selected Locations.
3. Assign Department Access (Optional Feature)
If Receive by Department is enabled on your domain, you can further narrow the user's view to specific team budgets.
Locate the Receive permission row.
Click the Departments button.
Select the specific Departments the user is authorized to receive for.
Click Assign Selected Departments.
Next Steps
Once saved, the user will only see Order Items in their Receive list that match both the assigned Location and Department. If they still see items from other departments, verify that "All Departments" was not accidentally selected during setup.
