How to Assign and Adjust User Location Access in Procurify

Prerequisites

  • You must have Superuser permissions or a custom role with access to Manage Users.

  • The Locations must already be created within your Procurify domain.

Note: Even if your organization only has one location set up in Procurify, you must still explicitly assign it to your users before they can utilize the platform.


Part 1: How to Manually Assign or Adjust Location Access

Locations determine where a user can perform the actions granted by their assigned role. For example, you can grant a user the ability to request items for "New York," but restrict them from requesting items for "London."

  1. Navigate to Settings on the left-hand navigation bar.

  2. Select Manage Users.

  3. Locate the applicable user and click on their name to open their profile.

  4. Navigate to the Roles & Permissions tab.

  5. Locate the specific permission category you want to adjust (e.g., Request, Approve, Procure, Receive).

    • Tip: You can use the drop-down arrow next to each permission category to assign locations to even more granular, detailed permissions.

  6. Click the button under the Assigned Locations column next to the relevant permission. This button indicates how many locations are currently applied to that permission.

  7. In the pop-up window, check or uncheck the appropriate boxes beside each Location to grant or revoke access.

    • Alternatively, click the Assign All Locations button to quickly grant global access for that specific permission.

  8. Click Assign Selected Locations to save your changes. The permissions button will automatically update with the new number of assigned locations.


Alternative Method: How to Update Location Access via Bulk Import

If you need to assign or update location access for a large number of users simultaneously, you can use the CSV import tool. Note: This method is only available on domains where granular permissions have been enabled.

  1. Navigate to Settings > Import Data.

  2. Locate the Permissions section and click Download Template.

  3. Open the CSV file and make your adjustments to the users' location access.

  4. Save the file as a CSV.

  5. Return to the Import Data page in Procurify and upload your modified file to apply the bulk changes.
