How to manage custom fields on Order Requests

Goal:

  • Custom Fields and order request

  • How can I add more custom field(s) for requesters when requesting an order?

The following steps can only be performed by Superusers/Users with access to Customization Settings.

How to add a custom field

  1. Navigate to Settings β†’ Customize Request for Order Form

  2. Select New Custom Field

  3. Enter the name for the custom field and choose how your requesters can put in their response

  4. Select the field titled Field Type and select either Text, Dropdown, Checkbox, or Date.

  5. Select the Required toggle to make the Custom Field mandatory

  6. Select Save Custom Field

Your Custom Field will now appear in the Additional Fields section in the New Item Description or Catalog Item Description screen when creating a new order request.

How to edit a custom field for Order for Requests

  1. Navigate to Settings β†’ Customize Request for Order Form

  2. Click the 3-dot options button to the right of the Custom Field you wish to edit

  3. Select Edit Field

  4. Make the necessary updates

  5. Select Save custom field

If you wish to update the field type, you will need to create a new Custom Field and disable the previous Custom Field.

How to disable a custom field for Order for Requests

  1. Navigate to Settings β†’ Customize Request for Order Form

  2. Click the 3-dot options button to the right of the Custom Field you wish to edit

  3. Select Disable Field

  4. Confirm your action in the pop-up

What happens when a custom field is disabled?

When a Custom Field is disabled, all values are saved in Procurify's database, but you cannot view the field or historical data. The custom field must be re-enabled to view custom field data in-app and in exported data.

Additional Information:

  • We recommend only using alphanumeric characters and special characters (not including emojis) in custom fields.

  • A maximum of 10 custom fields can be created for order requests.
