Why is an archived unbilled item still showing on my budget?

Goal:

  • Understand why an archived unbilled item still appears in the Budget breakdown

  • Remove an archived unbilled item from the budget


Overview:

Archiving an unbilled item in Procurify does not automatically remove it from your budget. The amount will continue to appear in the budget until the associated item is unreceived and the PO is closed.


Steps:

  1. Navigate to the Purchase Order associated with the archived unbilled item.

  2. Confirm the item has been unreceived. If it has not, unreceive it before proceeding.

  3. Close the Purchase Order manually.

  4. Navigate to Budgets and confirm the Purchased amount has been cleared.


Additional Information:

  • Archiving an unbilled item only removes it from the active unbilled items list. It does not trigger any changes to Spend or Allocation records, which is what drives budget calculations.

  • The Purchased column reflects all active allocations tied to a PO, regardless of whether the associated unbilled item has been archived.

  • If the Purchased amount does not clear after closing the PO, please reach out to Procurify Support for further investigation.
