How to View Other Users' Approvals and Orders

Prerequisites

Note: The Superuser role alone does not automatically grant visibility into all requests. Superusers must still configure this feature for themselves to see requests assigned to others.


Part 1: How to Enable Approver View Access

To view pending requests assigned to another user, an administrator must first add that user to your specific view list.

  1. Navigate to Settings on the left-hand navigation bar.

  2. Select Approver View Access.

  3. Locate and select your own name (or the name of the Approver who needs the expanded view access).

  4. Click Manage List.

  5. Select the checkboxes next to the specific approvers whose queues you wish to make viewable.

  6. Click Save to confirm your changes.


Part 2: How to View Another Approver's Requests

Once access is granted, you can toggle your view on the main approval dashboard to see the selected approvers' pending queues.

  1. Navigate to Approval on the left-hand navigation bar.

  2. Select the specific request module you wish to review (e.g., Orders, Travel, or Expenses).

  3. Locate the Viewing As drop-down menu situated next to the status tabs.

  4. Select the name of the approver whose queue you want to view. You can select multiple approvers at the same time to combine their lists into a single view.


Important Considerations

  • Module Limitations: Approver View Access only applies to Order, Travel, and Expense requests. It does not include visibility into pending Bills or Payments.

  • Platform Availability: This feature is currently only accessible via the Procurify web application. It cannot be used on the mobile app.
