How to Import and Link Account Codes in Procurify

SUMMARY (TL;DR)

Finance teams can import new Account Codes, bulk-link existing Account Codes to Locations and Departments, and prepare multi-code CSV cells, all through Procurify's Import Data settings.

How to import Account Codes

Note: You must be a Superuser or have custom permission to Import Data Settings.

We recommend only uploading a max of 200 lines of data at a time. If you have more than 200 lines of data, we suggest uploading your data in batches.

In this article, we refer to “Location” and “Department”. Your domain may have different labels due to custom organizational categories. Learn more here.

Important: If you sync account codes from an accounting software/ERP (e.g. NetSuite, QuickBooks Desktop), ensure to add your account code to your accounting/ERP software and not directly to Procurify.

How do I import Account Codes?

  1. Navigate to Settings → Import Data

  2. Next to Chart of Accounts (Account Codes), click Download Template

  3. Fill out the required columns and save the file to your computer. Review the table below for a definition of each column and an example.

  4. On the Settings imports page, next to Chart of Accounts (Account Codes), click Import CSV File

  5. Click Upload and select the file.

  6. Click Import.

Note: Procurify supports 2 tiers of account codes. If you have more than two tiers, consolidate the structure into a two-tiered system.

For subcodes, the parent codes must be created in a preceding row.

For example:

We recommend limiting Account Codes to 40 characters. Account codes longer than 40 characters may be truncated in some displays.

The Location and Department columns will assign the Account Code to a Location/Department. If you wish to apply to all locations and/or all departments, use the keyword **ALL** (with the asterisk) to mass apply.

How to link Account Codes to Locations & Departments in Bulk

The following steps can only be completed by a superuser or a user with customized access to Import Data Settings.

  1. Download the template by going to Settings -> Import Data

  2. Under Chart of Accounts and Budget Categories, click the Download template file next to Link Account Codes to Organizational Categories

  3. Fill in the CSV import template.

If this is your first time linking:

  1. Fill out the following required fields

  2. Account code. Use **ALL** for to select all active account codes.

  3. Location Name. Use **ALL** for all active locations

  4. Department Name. Use **ALL** for all active departments at the location

Leave the "Action on Duplicate" column empty for first time filling

To update linking:

Leave the Action on Duplicate column blank and fill in the row account code and departments as applicable.

You can use the keyword **ALL** in columns A, B, and C to assign all Account Codes to all Locations and Departments.

To delete Linking:

  1. Fill out location, department, and Account Code Fields

  2. Use the keyword UNLINK in the Action on Duplicate column

To import .csv file:

  1. Download the template by going to Settings -> Import Data

  2. Under Chart of Accounts and Budget Categories, click Import CSV File

The **ALL** keyword needs to include double asterisks on both ends to be accepted in the import.


How to combine all Account Codes into a single cell for CSV Import

Downloading your list of Account Codes

You must be a Superuser or have custom permissions to access Procurify Settings to complete the following steps.

  1. Navigate to Settings → Manage Chart of Accounts

  2. In the top right, click Export CSV

    . The CSV will be emailed to the e-mail addresses associated with your profile.

  3. Locate and download the CSV in your e-mail inbox.

Creating a single cell with multiple Account Codes

  1. Open the downloaded CSV file.

  2. In a column to the side, create a list of all applicable account codes by copying and pasting values from the Account Code and Subcode columns.

  3. In the cell below, use the textjoin formula to combine the above into a single cell.

    • E.g.,

      (Replace "H1:H8" with the relevant cell references)

This cell can be copied to any import template where multiple account codes need to be applied to a single cell. Ensure to select Paste Values.
