What are Automatic Purchase Orders? 

Procurify's Purchase Order feature automatically generates purchase orders for all order requests upon final approval. A separate purchase order will be created for each vendor in the approved request.

What are the benefits of Automatic Purchase Orders? 

Auto Purchase Orders eliminates the need to create POs for approved requests, saving you hours of manual work in your procurement workflow. 

How does it work? 

1. The final approver will receive a notification informing them that the PO will be automatically created.
2. POs are automatically generated for each vendor using the next PO number in the sequence or you can set up custom PO numbering.
   • The shipping method & terms and payment method are pulled from the Vendor details. The fields are left blank if vendor information is incomplete. 
3. Automatically created POs will remain open and ready to be received for one-time items and will be auto-received for recurring items. 

For order items with Vendors classified as OTHER, meaning that they are not currently in the system, a new Vendor will be created using the Vendor name provided.

POs created with Auto PO can be revised to edit information such as shipping address, payment information. Ensure to email the revised PO 

Important: E-mails are only automatically sent to the vendor when PO email automation has been enabled. 

Will my organization benefit from enabling Automatic POs in Procurify? 

Your organization may benefit from Automatic POs if:

• You do not need to make edits Purchase orders before they are automatically created.
• You do not need to combine orders requests to create consolidated Purchase Orders.
• It is not possible to add new items to the product catalog while creating a Purchase Order. 
• Purchasers will NOT be notified of any POs that are auto-generated.
