Summary (TL;DR): Access visual spend data through the Reports module. If data is missing or links are unresponsive, verify your Procure permissions and Reports Access settings.
Feature Overview: What are Procurify Reports?
The Reports module transforms raw financial data into visualizations (charts and graphs) to help you track spending trends and make informed decisions.
Standard Reports: Monitor Orders by Vendor, Orders by User, Orders by Department, and Expenses by Department.
Key Functionality: Use built-in search and sort filters to drill down into specific data sets.
Data Portability: Export any report view as a CSV for external audit or deeper analysis.
To access these tools, select Reports on the left-hand navigation bar.
Troubleshooting: Common Reporting Issues
Use this diagnostic table to resolve visibility blockers or missing data.
Symptom | Potential Cause | Resolution |
PO links are unresponsive | Missing Procure permissions. | Ask your Admin to add View Purchase Orders to your role. |
Missing Line Items | Missing Reports Access. | Admin must grant access via Settings > Reports Access. |
Missing Bills | Bill is not linked to a PO. | Reports only show PO-linked items. Use CSV Exports instead. |
Empty Reports Tab | Browser cache or role issue. | Clear browser cache and verify the Reports role is assigned. |
Resolution Procedures
1. Granting Access to Specific Locations/Departments
If the Reports tab is visible but certain data is missing, a Superuser must grant visibility to specific organizational units:
Navigate to Settings > Reports Access.
Select the target Location from the top-right dropdown.
Select the applicable Departments from the list on the left.
Search for the user's name in the Search User field and click Add.
2. Reporting on Direct Bills (Non-PO)
The Reports module logic requires a Purchase Order link to populate line items. If your team creates Bills directly (without a PO), they will not appear in the module.
Workaround: Navigate to Settings > Export Data and generate a CSV for Bills to review this data.
3. Understanding Accrual Reporting
Accrual Reports track expenses that have occurred (items received) but have not yet been paid.
Includes: Items that are Unbilled, or on Draft, Pending, or Denied Bills.
Exclusions: Fully Billed items or Archived (canceled) transactions.
Note on Dates: The "Received Date" reflects when the receipt was recorded in Procurify, which may differ from the physical arrival date.
