How to export Budget spend breakdown

The following article pertains to our new Budgets and does not apply to our Legacy Budgets. See this article for how to identify which version of budgets your domain is currently using.


The Budget spend breakdown provides a report on spending related to Budget Setup.

Steps:

  1. Navigate to Settings β†’ Export Data

  2. Click Prepare CSV next to Budget spend breakdown located towards the bottom of the page.

  3. Select a Date Range and the Budget Categories to Export. Important: A date range must be selected for the CSV to contain Budget spend breakdown otherwise, your CSV will only display the Category Name.

  4. Optional: Select the Format Type. You can choose to edit the format of the CSV files if you wish to show different column headers or a different arrangement of columns.

  5. Use the toggle to select if you wish to receive a copy of the CSV by email. This will be sent to the email associated with your Procurify log-in.

  6. Click Export CSV. The export may take a few minutes. Once complete, click the Download CSV button to save the CSV to your computer.

Success! You have exported Budget Categories.

How to compare spending against budgets in Procurify

To view actual spending and compare it against budgets, export Budget Categories and the Budget spend breakdown export (following the steps above) and combine columns from the two files into a single file to compare spending data with budgets.

Ensure to use the same date ranges for both exports for an accurate comparison.

Steps:

  1. Navigate to Settings β†’ Export Data

  2. Locate and Export Budget spend breakdown by selecting the Prepare CSV button.

  3. Locate and Export the Budget spend breakdown with the Fiscal Year. Important: ensure to select the same date ranges as you selected for the Budget Category export in step 2.

  4. Open the CSV file for Budget Setup Locate the column labeled Budget. Copy this entire column, including the column name.

  5. Paste the copied column "Budget" and insert this as a new column next to the "Approved" column in the Budget spend breakdown export.

You notice that they're aligned 1 to 1.
