Sage Intacct Migration (Codat → Merge)

Steps for migrating the Sage Intacct integration from the legacy Codat connection to the new Merge-based connection.

This guide walks Sage Intacct customers through migrating their integration from the legacy Codat connection to the new Merge-based connection.

Prerequisites

  • Required Permissions: Access to Settings > Integration Settings in Procurify. This is typically restricted to Procurify Admins (Superuser), so confirm your role has access before you start.

  • Prior Configuration: An active Sage Intacct integration currently running on the legacy Codat connection.

This article covers the steps to take on both the Procurify and Sage Intacct sides.

What's new

  • Multi-entity support, connect once at the Top Level and Procurify routes each bill to the correct entity automatically, or scope the connection to a single entity if that's all you need.

  • Expanded field mapping, map fields directly from Procurify to Sage Intacct custom fields on both AP headers and line items. For standard dimensions, map using an ID prefix. For example, enter 100--Toronto to map to the dimension record with ID 100.

  • Pushing simple bills

  • Pushing payments

  • Mapping custom fields

  • Tax support on bills

  • Attachments on bills

Do I need to migrate?

  1. Go to Settings → Integrations → Sage Intacct Setup.

  2. Open the Auto Bill Sync tab and look for a Sync to Top Level setting.

  3. If you don't see a Sync to Top Level setting, you're still on the older integration and need to migrate.

Procurify Actions

Step 1: Record your current settings

Reconnecting resets your configuration, so before you disconnect anything, note down:

  • Custom field mapping — go to Settings → Integrations → Sage Intacct Setup, open the Bills tab, and scroll to the bottom. Record every Procurify field mapped to a Sage Intacct field, including any advanced custom field mappings.

Take note of Chart of Accounts, Vendors, and Auto Bill Sync & Payments settings as well. These settings will have to be setup again after reconnecting.

Step 2: Disconnect and reconnect

  1. Click Disconnect to remove the existing Sage Intacct integration.

  2. Click Reconnect to launch the new integration setup.

  3. If prompted, click Complete Setup to continue.

Sage Intacct Actions

Before you reconnect, gather the following from Sage Intacct:

  • Company ID, found under Company → Setup → Company.

  • Location ID (also called the Entity ID), found under Company → Setup → Entities. It decides how the connection is scoped. You can't change it later without re-linking the integration, so it's worth getting right the first time.

To scope the connection to a single entity, enter that entity's Location ID (called the Entity ID in Sage Intacct).

  1. In Sage Intacct, go to Company → Setup → Company → Security and click Edit.

  2. Scroll down to Web Services authorizations and add a new row with Sender ID set to Procurify and Description set to Connection to Procurify.

  3. Click Save.

Next, locate your existing Web Service User credentials. If you no longer have the password, edit the Web Service User record and click Reset Password. If you no longer have access to the email on that record, update the email first so the new password and user ID arrive somewhere you can reach.

Don't have a Web Service User with the right permissions yet? Under Company → Admin → Roles, create a role with all Subscriptions and Permissions enabled (or use an existing Admin role). Then, under Company → Admin → Web Service Users, create a user with the Business user type and Full Admin Privileges, and assign it that role.

Once you have your Company ID, Location ID (also called Entity ID), and Web Service User credentials, you're ready to complete the connection.

After you reconnect, the integration will show a "Processing" status for (times will vary depending on how much data is in your domain) while your data transfers over, including past successful bill syncs and payment statuses.

Once the status changes to Connected, re-enter the settings you recorded in Step 1:

  • Custom field mapping

  • Vendor sync settings

  • Chart of accounts sync settings

  • Payment sync settings

  • Auto Bill Sync setting

Once everything's configured, you're ready to start syncing bills and payments with Sage Intacct.
